What chat and video cost a 10-person team: Slack, Teams Essentials, Zoom and RingCentral
Priced the way small teams buy: chat for everyone, video seats for the people who host calls.
Short answer: chat for ten people is Slack Pro at $72.50 a month or Teams Essentials at $40. Add Zoom Pro for the three people who host external calls and the Slack route lands at $114.98 a month, $1,380 a year.
Communication tools are the easiest line to overspend on because every vendor wants to be the one you "consolidate" into. Here is what each piece costs on its own, priced the way small teams actually buy them: chat for everyone, video and scheduling for the people who host.
| Tool | Plan | Seats | Billing | Per month | First year |
|---|---|---|---|---|---|
| Slack | Pro | 10 | yearly | $72.50 | $870 |
| Microsoft Teams Essentials | Teams Essentials | 10 | yearly | $40 | $480 |
| Zoom Workplace | Pro | 3 | yearly | $42.48 | $510 |
| RingCentral RingEX | Core | 10 | yearly | $200 | $2,400 |
| Loom | Business | 3 | yearly | $45 | $540 |
| Calendly | Standard | 3 | yearly | $30 | $360 |
US list prices from each vendor's own pricing page, re-checked every 48 hours. Yearly billing where offered. Zoom, Loom and Calendly priced for three hosts, not the whole team.
You probably do not need a video seat for everyone
Zoom's free plan handles 40-minute meetings, and Google Meet or Teams comes with your email suite. A paid Zoom seat is for the people who run long external calls: sales, customer success, the founder. On a ten-person team that is usually two or three seats, not ten. Buying ten Zoom Pro seats would cost $141.60 a month for licences that mostly sit idle.
Teams Essentials is the budget answer, with a catch
At $4 a seat, Teams Essentials is less than half the price of Slack Pro and includes video. The catch is that it is Teams: fine for internal chat, weaker for the shared channels and integrations that make Slack useful with clients and contractors. If you are already on Microsoft 365 Business Standard, you have Teams included and should not buy Essentials at all.
When RingCentral makes sense
RingCentral RingEX Core at $20 a seat is a phone system first. If your team takes real inbound calls, with a business number, routing and voicemail, it replaces a separate phone bill and the maths changes. If nobody calls you, it is $200 a month for features you will not use.
The free tiers are better than you remember
Slack's free plan now keeps 90 days of history. For a ten-person team that talks mostly in the moment, that is workable for months. The upgrade trigger is usually the first time someone needs to find a decision from last quarter. Pay then, not before.
Run your own numbers in the stack calculator with your real seat counts. The communication line is usually 10 to 15 percent of a small team's software bill, and it is the easiest 10 percent to trim.
Questions people ask
How much does Slack cost for 10 users?
Slack Pro is $7.25 per user per month on yearly billing, so $72.50 a month for ten people. Month to month it is $8.75 per user.
Is Microsoft Teams Essentials cheaper than Slack?
Yes. Teams Essentials is $4 per user per month, less than half of Slack Pro, and includes video meetings. It is a weaker fit for shared channels with outside companies.
Do I need Zoom if I have Google Workspace or Microsoft 365?
Usually not for everyone. Both suites include video. Buy Zoom seats only for the people who host long external calls and need its reliability and features.
